The Octomize Process
Todays manual appointment scheduling process is challenging for customers and service providers. There is a better way. Educated customers have the desire and where with all to manage their busy schedules.
This opens the gate for you to unburden your business from the non-productive, less than perfect, customer scheduling process. Octomize, Inc. has developed a very friendly customer self service scheduling and e-commerce service for you.
We recognize the importance of keeping your business brand ever present in your customers' mind. To help you accomplish this we offer two web options.
If you already have a website, we open a window to Octomize, Inc. service as shown in the below left website example.
Through this window the customer only sees your products and services. Your brand is preserved. Throughout the whole scheduling and buying process, your customer remains on your website.
If you currently do not have a website, you can choose from one of our templates as shown in the below right website.
In both options, your products and services are presented with your custom descriptions and optional pictures.
Privacy and terms of use statements are also branded with your business identification.
Finding the right service from you and booking an appointment is simple. Your customers can read about your services and products and choose the ones that meet their needs.
Once they select a service, they can pick the date, time, and service provider.
If your business has multiple locations, your customer can select the location and then the date, time, and service provider.
Your business may require meeting at the customer's location. We support this option!
You can define how far you are willing to travel from your central place of business and we show a map with a travel circle. If the customer location is outside this travel limit, we let them know.
Sometimes your customer may wish to send you a special note about the appointment. For each appointment they can add a unique note.
The customer is then asked to share their contact information.
Optionally they can prepay through your PayPal account. If you require a pre-payment, your customer must pay first. All credit card processing is done on PayPal between you and your customer.
After reviewing the appointment / product order, your customer completes the transaction.
Your customer receives an order confirmation e-mail and optionally your designated e-mail monitor will receive a duplicate confirmation.
Reminding people of their appointment is now automatic. They will receive a reminder e-mail before the appointment. You set the number of days to remind them before the appointment.
If your customer selects to be reminded by text message, one will be sent out with the e-mail. An additional text message will be sent out 4 hours before the appointment.
Handling cancellations and rescheduling can be a daunting task. Here again the customer can handle this themself.
You set the cancellation policy.
This automatic cancellation and re-scheduling works both ways. If your service provider is out ill or away on an emergency, one or all of the appointments can be automatically cancelled. An e-mail with a required cancellation reason and a re-schedule link is sent to each customer.

Once you sign up for Octomize, Inc. service you will be asked to set up your business services, products, employees, locations, and some other pertinent information.
We have invested a lot of time and energy to make the setup process simple and meet your needs.
After setup, you can add or make revisions.

Real time information is available in your Administration Panel. Appointments and orders needing attention are shown in the dashboard. If you use Microsoft Outlook 2007, your business appointments and personal appointments can be synchronized. If you add a personal appointment in Outlook, it will block out that time on your website.
